Quotation format for service businesses in India
A clear quotation helps you win work and sets expectations before you invoice. For Indian service businesses, the format should cover scope, pricing, tax, and validity—without turning into a legal document.
What to include in a service quotation
Start with your business name, address, GSTIN (if registered), and client billing details. Add a quotation number and date so you can reference it later.
- Scope of work or line-item description
- Qty, rate, or fixed service fee per line
- Subtotal, tax mode (GST / IGST / no tax), and grand total
- Validity period and payment terms
- Your signature or authorised contact
GST on service quotations
For intrastate supplies, CGST and SGST apply. For interstate supplies, IGST applies. Pick the mode based on your state and the client's state.
Show tax amounts separately so the client understands the breakdown before accepting the quote.
From quotation to invoice
Once a client accepts, convert the quotation into an invoice without retyping details. This keeps amounts, tax, and client data consistent and reduces errors.
